Job Description:
Position Overview:
We are seeking a diligent and detail-oriented Client Support Administrator to join our team. The ideal candidate will assist senior advisors in delivering comprehensive financial planning and wealth management services, ensuring smooth and efficient operations.
Key responsibilities:
1. Operational Support
- Coordinate and manage client documentation and files, ensuring accuracy and compliance.
- Maintain and update client records in our financial planning software and databases.
- Prepare necessary documentation for client meetings and follow-ups.
- Support compliance and regulatory requirements by adhering to checklists, templates and procedures in preparing and maintaining necessary documentation.
- Assist in the recording of relevant data to enhance monitoring of internal processes to ensure operational efficiency.
2. Client Service
- Handle client inquiries in a friendly and helpful manner and provide information on financial products and services within agreed SLAs.
- Schedule and execute client onboarding meetings, ensuring all necessary onboarding documentation is complete to the utmost professional standards whether working from the office or home.
- Develop and maintain strong client relationships through regular communication and follow-up.
- Following meetings ensuring all necessary documentation is completed and filed.
- Take an attitude of ‘phone first’ in resolving queries.
3. Financial Planning and Analysis
- Assist in the preparation of financial plans and reports for clients.
- Prepare financial projections and performance reports for review by senior advisors.
- Support senior advisors in researching and analyzing pension, investment and protection options.
4. Investment Administration
- Assist in the administration of client investment portfolios, including transaction processing and record-keeping.
- Prepare investment performance reports and summaries for clients.
5. Administrative Tasks
- Provide administrative support to the financial advisory team, including processing new business documentation, client change requests, document management, scheduling, and correspondence.
- Collaborate with administrative staff, sales and external stakeholders companies to ensure smooth day-to-day office operations.
- Assist in organizing and maintaining office supplies and resources.
6. Professional Development
- Stay current on financial planning and wealth management industry trends and best practices.
- Pursue relevant certifications and professional development opportunities, adhere to all compulsory training.
- Participate in team meetings and training sessions to enhance skills and knowledge.
Qualification:
- Relevant certification (e.g. QFA, CFP) preferred or willingness to obtain.
- Previous experience in financial planning and wealth management administration or in a related field.
- Strong ethics of task ownership, accountability, accountability, proactivity.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in financial planning software and Micro Office Suite.
- High level of accuracy and attention to detail.
- Ability to work independently and as part of a team.
- High level of integrity and commitment to client confidentiality.
